Short: Add clients manually, import via CSV, and manage client profiles and history.




Adding Clients Manually

Location: Clients → Add Client


Steps

  1. Go to the Clients page.
  2. Click Add Client.
  3. Fill required fields:
  • Name (required)
  • Email (required for portal access)
  • Phone (required for SMS)
  • Address
  • Notes
  1. Click Save.


Best practices

  • Always include email to enable portal invites.
  • Include phone for SMS notifications.
  • Use the notes field for gate codes or access instructions.




Importing Clients via CSV

Location: Settings → Import


Steps

  1. Go to Settings → Import.
  2. Download the CSV template.
  3. Populate template with your client data.
  4. Save as CSV and upload.
  5. Review preview for valid/invalid rows.
  6. Click Import to add valid records.


Required columns

  • name
  • email OR phone (at least one)

You can view

  • Client profile and contact details
  • Associated properties
  • Complete job history
  • Estimates, invoices, and payments
  • Contact event log (calls, emails, SMS)
  • Outstanding balances and predictive insights

Actions

  • Send email or SMS from client page
  • Create estimate, job, or invoice

## Creating Properties
**Location:** Properties → Add Property

**Steps**
1. Go to **Properties** page.
2. Click **Add Property**.
3. Select the client who owns the property.
4. Enter address fields (street, city, state, ZIP).
5. Add property-specific notes or access instructions.
6. Save.

**Why properties matter**
- Enable accurate mapping and routing.
- Track maintenance per location.
- Support recurring maintenance and job history.

## Property Features

**Photos**
- Upload reference photos (before/after, equipment, access points).

**Map View**
- See property on map, view related jobs, get directions.

**Maintenance History**
- View service history, recurring schedules, and past jobs.

## Recurring Maintenance
**Location:** Property Details → Add Recurring Maintenance

**Steps**
1. Open property details.
2. Click **Add Recurring Maintenance**.
3. Set frequency (weekly, monthly, quarterly, yearly).
4. Choose start date and service type (from price book).
5. Optionally assign a default technician.
6. Save.

**Behavior**
- System creates jobs automatically (e.g., 7 days before due).
- Notifications sent to assigned techs.
- Pause or cancel schedules anytime.

**Common uses**
- HVAC filters, lawn service, pool maintenance, safety inspections.
